1.1 Policy Statement
This Privacy Policy explains how Competency Training Pty Ltd manages personal information that we may collect, use, hold and disclose to other parties as necessary to conduct our normal business activities.
Personal information is any information or opinion, in any form, which identifies an individual or from which an individual’s identity is apparent or can be reasonably ascertained.
1.2 Collection of personal information
As far as it is reasonable and practicable to do so, we will always try to collect personal information directly from the people we train. However we may also obtain personal information from:
· employers of the people we train
· other training providers
· the Queensland Department of Education and Training (“DET”) and any other relevant Federal or State government bodies for purposes related to the access and use of any funding.
We collect personal information for various purposes including to:
· inform clients of our services and to provide them with relevant information.
· determine clients’ requirements for our services.
· access and allocate industry funds provided by government.
· add clients’ personal information into databases maintained by Competency Training Pty Ltd as part of our normal business activities.
1.3 Disclosure of personal information
Personal information may be disclosed to:
· Competency Training Pty Ltd management and employees to enable our staff to conduct their normal business activities.
· any entity to whom we are required or authorised by law to disclose information (including but not limited to Queensland DET, other Federal or State government bodies, agencies or departments, law enforcement agencies, the courts and the Australian Taxation office)
· other parties that Competency Training Pty Ltd has advised you of at the time any personal information is collected.
· other Registered Training Organisations (RTOs) who, under mutual recognition arrangements, may seek to confirm information supplied by a client about the training the client has claimed to have previously completed with Competency Training Pty Ltd
· with your consent, express or implied, any other parties (including employer training co-ordinators/managers and training management companies).
1.4 Currency of personal information
To effectively conduct our business, it is important that the personal information that is held about our clients is complete, accurate and current. At any time while we hold client personal information, we may ask our clients to advise us of any changes to their personal information.
1.5 Security of personal information
Personal information is mainly stored in secure electronic databases. We take reasonable precautions to safe guard personal information from loss, misuse, unauthorised access, modification or disclosure.
Physical or hard copy records will be secured through the locking of filing cabinets and other storage facilities.
When personal information is no longer required, we will destroy or delete this information in a secure manner. However, we may be required by law to retain certain information for a set period of time. Once this period expires, we will destroy or delete this information in a secure manner.
1.6 Access to personal information
Clients may ask to access the personal information held by contacting Competency Training Pty Ltd. There may be a fee charged for providing access to this personal information.
We may decline to allow a client to access and update their personal information in certain circumstances as permitted under the National Privacy Principles. In these instances, we will provide the client with the reasons for our decision.
1.7 Use of identifiers
An identifier is a unique identification number assigned to a client. Examples of identifiers include Tax file numbers or Medicare numbers. Competency Training Pty Ltd uses student numbers as the identifier for recording information about clients. Student number information will not be published or made generally available in a way which links the number to a students name (e.g. mailing labels which are sent through the post)
1.8 Marketing materials
To ensure our clients are kept informed of changes within our industry sector, Competency Training Pty Ltd may, where considered appropriate, distribute marketing materials to our clients.
Competency Training Pty Ltd will comply with the requirements of the Spam Act 2003 when delivering marketing materials to our clients via electronic means.
1.9 Raising privacy concerns
If any client has a query about this Privacy Policy, wishes to lodge a request to access or update their personal information, or if they have a complaint about the way we have handled their personal information, they may contact us by:

1.10 Responsibilities
All Competency Training Pty Ltd staff are responsible to ensure that arrangements described within this policy are followed at all times.
